Set up your project
Create a new project in Taskabeez. Enter the contract type (FIDIC, NEC4, JCT, or AIA), the parties, contract sum, and key dates — whether you are on a residential fit-out, commercial office, industrial shed, civil highway, or infrastructure package. Setup takes about three minutes.
Taskabeez uses this information to configure the correct notice periods, claim mechanisms, and contractual calendar for your project. From this moment, every deadline is being tracked.
Import your documents
Upload your contract document, BOQ (Bill of Quantities), programme, drawings, and any existing correspondence. Taskabeez accepts PDFs, Word documents, Excel files, and email exports.
You do not need to clean or format your documents. Taskabeez reads them as they are. The more you upload, the more context the AI has to detect claim events and monitor your position.
The AI reads everything and sets up your registers
Taskabeez reads every document you have uploaded and uses document management with AI analysis to suggest actions for your approval across your CVI (Confirmation of Verbal Instruction) log, RFI (Request for Information) log, and VO (Variation Order) register. It identifies potential issues in your existing correspondence and flags them immediately.
At this point the system may already have found claim events you did not know about — a late drawing that triggered a programme impact, an instruction buried in an email chain, a payment certificate that was short-paid. These are surfaced in your first briefing.

On Professional and above, 13 specialist agents run continuously across your modules. They scan RFIs, payments, variations, MARs (Material Approval Request), snagging, handover, and more — surfacing prioritised alerts in your Consultant Log with draft response text ready for your review.
Nothing is sent automatically. Every alert includes a priority rating, a professional explanation of the commercial risk, and draft response text you can approve or reject. Run a full scan manually from the Consultant Log at any time.
Review your agent briefing
Every time you open a project on Professional and above, the agent system can show a summary of pending critical and high alerts. Run a full scan at any time to refresh your Consultant Log with the latest findings. On a Consultant Retainer, your projects dashboard also shows the Portfolio Briefing across overnight-loop enrolments — critical deadlines, overnight findings, pending approvals, and last/next run timing. Enrolled overnight projects can also raise opt-in recurring contractual deadline prep alerts and raise one synthesized critical-delay finding — schedule impact, contractual/notice considerations, and honest cost exposure (real figures when data allows, clearly flagged when it doesn't) — with a recovery letter attached, for critical Gantt slips with a named resource.
Per-project morning banners summarise urgency for that job. The Portfolio Briefing (Retainer-only) aggregates overnight coverage across all enrolled projects in one place. Nothing is sent or executed until you approve.
Every instruction, variation, and claim is tracked automatically
From the moment the project is live, every new instruction, variation, and claim event is analysed and surfaced for your review. CVIs are drafted for approval before you send them. VO values can be built from your BOQ (Bill of Quantities) rates. Contractual deadlines are tracked with alerts.
Registers are updated only after you approve AI recommendations — nothing is created without your sign-off. Your job is to review what the AI has prepared, approve or amend it, and move on. The administrative burden that previously consumed hours every week is reduced to minutes.
Export professional reports and payment applications
When you need to produce formal documents — an interim payment application, an extension of time submission, a final account, or a tender comparison matrix of extracted figures — Taskabeez compiles them from your live data. Tender comparison ranks by extracted price only and does not invent an award recommendation.
Reports are produced in your branded format and are fully supported by the underlying register data. Every figure in a payment application is traceable back to a BOQ (Bill of Quantities) item, a programme activity, or an approved variation. There are no unsupported numbers.
Common questions
How long does initial setup take?
Most projects are set up and running within 10–15 minutes. Uploading documents takes slightly longer depending on volume, but the AI processes them in the background while you continue working.
What contract types does Taskabeez support?
FIDIC 1999 and 2017 (Red, Yellow, Silver, Gold), NEC4 ECC, JCT 2016 / 2024 (Standard Building Contract and Design and Build), AIA A101 / A201, ConsensusDocs 200, and bespoke contracts.
Can I use it on existing projects partway through?
Yes. You can upload your existing correspondence, CVIs, and registers and the AI will pick up from the current state of the project. It will also backfill any missed claim events it finds in historical correspondence.
What happens if the AI misses something?
You remain responsible for your contractual position. Taskabeez is an assistant, not a replacement for professional judgement. We recommend using the platform to augment your commercial team, not to replace it. All AI actions are reviewed before they are sent.
